Accessing City Resources from Home

Due to the Coronavirus Pandemic, you may be assigned to work from home.  The following are instructions to assist you on how to access your City email, Google Drive, Contacts, Calendar, Chat, Google Hangout Meetings, and voicemail, directly from home. If or when assigned, please follow the City’s policies and guidelines for telecommuting use.

You can access all Google functions from any PC/MAC with internet connectivity or Smartphone/Ipad/tablets.

City Email Access

Please visit http://mail.lacity.org.

Applications for Smart Phones and Tablets

For smartphones (iPhone/iPad and Android), you can download specific apps for specific functions.

Function App Name Instructions
Email Google Mail (Gmail) Click here http://mail.lacity.org. Please log in with your Gmail accounit (Employee ID) and password.
Chat, meetings, interviews, video, and phone conferencing  Google Hangout

Please turn on CHAT to to show that you are on shift and online. Supervisors may require you to enter your status such as breaks, lunch, RDO, VC, etc. Please refer to your employee email (sent on 3/18/20) regarding "Follow up instructions for telecommuting".

You can quickly have conversations with staff (or with a group of staff) by chatting using Google Hangout or Chat.  

You can conduct meetings by phone, web, or video of 2 or more people using Google Hangouts.  There is a limit of 200 participants per meeting. Please refer to your employee email (sent on 3/18/20) regarding "Follow up instructions for telecommuting".

For large meetings over 200 participants (RFPs, Committee Meetings, large trainings, seminars, etc), please contact the Helpdesk for instructions to reserve our GoToWebinar license.

Documents Google Drive or Google Docs Please upload essential and needed documents (word processing, spreadsheet, presentations, etc) to your Google Drive for access.  Google Drive space is limited based on your account; so be selective on what you need to work on in the next 2 or more weeks. You can also share these documents with your co-worker to collaborate on the documents as well.
Appointments Google Calendar You should have access to your City calendar after logging in.
Spreadsheets/excel Google Sheet Please upload essential and needed documents (word processing, spreadsheet, presentations, etc) to your Google Drive for access.  Google Drive space is limited based on your account; so be selective on what you need to work on in the next 2 or more weeks. You can also share these documents with your co-worker to collaborate on the documents as well.
Contacts Integrated in your smartphone by adding account information in your settings.

You should have access to your City contacts after logging in.

Virtual Private Network (VPN) Access

VPN software enables staff to work from home.  Once your Telecommuting Agreement is signed and approved by your supervisor, Helpdesk will provide an email with instructions on how to to gain access (Please refer to your employee email (sent on 3/18/20) regarding "Follow up instructions for telecommuting").  This will provide direct access to your work computer from home.

Please have your Supervisor email “the help desk” with the Subject: Approved Telecommuting Agreement.  Attached the approved document along with the email.
